Managing external confirmations efficiently — between the auditor and the client

External confirmations are among the strongest sources of audit evidence — but their strength depends entirely on how they are managed. Efficiency and independence, not just obtaining a reply, are what make a confirmation reliable.

What is an external confirmation?

An external confirmation is audit evidence obtained as a direct written response to the auditor from a third party — a bank, a customer, a supplier or a lawyer — about a balance or a condition (for example, bank balances, trade receivables and payables, or the terms of an agreement).

The core principle: the auditor controls the process

Under ISA 505, the auditor must maintain control over the confirmation requests. That means the auditor determines the information to be confirmed, selects the confirming party, designs and sends the requests, and receives the responses directly — not through the client. The moment the client handles the sending or the replies, the evidence loses its reliability, because the risk of interception or manipulation rises.

This is the balance “between the auditor and the client”: the client provides accurate contact data and facilitates access — but the auditor owns the process and preserves independence.

Practices that keep confirmations efficient

  • Plan early and obtain clean, verified contact details for each confirming party.
  • Use standardised request templates and a tracking log for what was sent, received and outstanding.
  • Send and receive directly (post, secure email, or a reliable electronic confirmation platform), and follow up promptly with second requests.
  • For non-responses, perform alternative audit procedures; for exceptions and discrepancies, investigate and resolve them.

A confirmation is reliable evidence only when the auditor controls it from start to finish.
